ClickUp is one of those tools that agencies adopt because it genuinely is excellent at task management. The views are flexible, the automation is powerful, the free tier is generous, and the brand positioning is relentlessly competent. So you migrate your projects into it, your team adopts it, and things feel cleaner for a month or two.

Then the billing cycle comes around. Or a client wants to view their project status without being given access to your internal workspace. Or an SSL certificate expires on a client’s site because nobody was watching. And you realise that what ClickUp sold you was half an agency operations platform — the delivery half — with the client management, financial, and monitoring infrastructure nowhere to be seen.

What ClickUp Genuinely Does Well

ClickUp’s project and task management is outstanding. Nested subtasks, dependencies, custom fields, and sprint management are all well-implemented and genuinely useful for delivery teams managing multiple concurrent projects.

The automation engine deserves particular credit. Conditional logic, multi-step triggers, cross-space actions — ClickUp’s automation layer is substantially more capable than most project tools, and it can replace a meaningful number of Zapier workflows for teams willing to invest the setup time. If you’re building a sophisticated delivery operation and you have someone happy to configure it, ClickUp rewards that investment.

For pure internal task management with no client-facing requirements, ClickUp’s free tier is also very hard to argue with. A development team running internal sprints with no billing, no client portal, and no support obligations can live happily in ClickUp for nothing. That’s a legitimate use case and ClickUp serves it well.

The workload and resource views have improved significantly in recent versions. You can see team capacity across projects in a single view, identify who is overloaded before it becomes a problem, and adjust assignments without navigating between multiple tools. For delivery managers who think in capacity terms, this is genuinely useful.

Where ClickUp Falls Short for Agencies

The gap between ClickUp’s strengths and what a full-service agency actually needs becomes visible the moment you try to use it beyond task management. The core problem is architectural: ClickUp was built as a productivity and project tool. Everything client-facing — billing, contracts, portals, support, account health — was never part of its design brief.

There is no invoicing. At all.

ClickUp cannot send an invoice. It has a time tracking module, but there is no mechanism to convert logged time into a bill, no recurring invoice scheduler for retainer clients, no quote builder, no contract with e-signature, and no connection to payment processing. Every agency using ClickUp is also paying for FreshBooks, Xero, QuickBooks Online, or similar — and reconciling time data between the two systems every billing cycle. For a 20-client agency billing monthly, that reconciliation typically takes 2–3 hours per month. Across a year, that’s 24–36 hours of avoidable admin.

Clients cannot interact with your workspace professionally.

ClickUp does allow you to share views with guests, but the experience is not a client portal — it is your internal workspace with limited permissions. Your clients see ClickUp’s branding. They see your internal task naming conventions, your status labels, your team member names. There is no approval workflow, no file proofing, no invoice payment flow, no support ticket submission. ClickUp is genuinely the better choice in specific circumstances, and it would be misleading to suggest otherwise. Similarly, if you already have a working billing infrastructure (Xero or QuickBooks with an accountant who knows it inside out), a dedicated helpdesk subscription that your support team won’t give up, and you genuinely don’t need a client portal because your clients prefer email, then replacing what works with an integrated platform creates disruption for limited benefit. The ClickUp use case that most commonly makes sense: a growing development agency where project management is the primary pain point, the founder handles invoicing directly in their accounting software, and there are no managed service clients requiring monitoring or SLA ticketing. The Practical Verdict

ClickUp is one of the best project management tools on the market. If project management is your only problem, it is an excellent answer. But most UK digital agencies with five or more staff and a mix of project and retainer clients are not facing a project management problem in isolation — they are facing a total agency operations problem, and ClickUp solves roughly half of it.

The test is simple: open your current SaaS subscription list and count the tools that exist because ClickUp doesn’t do something. If the answer is three or more, the case for consolidation is already made.
